1. Introduction

Zinvos is an event technology platform that provides event registration, ticketing, and payment collection services for conferences, exhibitions, workshops, seminars, and other events organized by third-party event organizers.

Through the Zinvos platform, attendees can register for events and make payments using supported online payment methods.

Zinvos facilitates the collection of registration fees on behalf of event organizers and subsequently transfers the collected funds to the respective organizers in accordance with agreed settlement arrangements.

Cancellation and refund policies may vary from event to event, depending on the terms established by the respective event organizer.

This policy outlines the general conditions applicable to cancellations, refunds, and payment-related issues processed through Zinvos.

2. Event-Specific Cancellation and Refund Policies

Each event listed or registered through Zinvos may have its own cancellation and refund terms established by the event organizer.

These terms may include:

  • Eligibility for cancellation and refunds.
  • Deadlines for submitting cancellation requests.
  • Full or partial refund conditions.
  • Non-refundable registration categories.
  • Applicable cancellation or administrative charges.
  • Refund arrangements for postponed or cancelled events.

Attendees are encouraged to review the applicable event-specific cancellation and refund terms before completing registration and payment.

Where an event-specific policy is provided, that policy will govern the cancellation and refund eligibility for the respective event, subject to applicable laws and payment processing requirements.

3. Cancellation Requests

Attendees wishing to cancel an event registration should contact the respective event organizer using the contact information provided on the event registration page or confirmation communication.

Cancellation requests may also be submitted to Zinvos support for assistance in forwarding the request to the relevant organizer.

Cancellation requests should include:

  • Registered attendee’s name.
  • Event name.
  • Registration number or transaction reference.
  • Registered email address or phone number.
  • Reason for cancellation.

Submission of a cancellation request does not automatically guarantee a refund.

Cancellation and refund eligibility will be determined in accordance with the applicable event-specific policy and legal requirements.

4. Refund Approval and Processing

Refund decisions for event registrations are generally made by the respective event organizer.

Once a refund has been approved and the necessary funds or settlement arrangements are available, Zinvos may facilitate the refund through the original payment gateway or another authorized payment mechanism.

For approved refunds:

  • Refunds will ordinarily be initiated to the original payment method used during registration.
  • Approved refunds will generally be initiated within 7 working days after approval and completion of any necessary settlement arrangements.
  • Once initiated, refunds may take an additional 5–10 working days to appear in the attendee’s account, depending on the payment method, bank, and payment gateway.
  • Actual processing timelines may vary due to banking procedures, public holidays, or payment service provider requirements.

Where applicable law or payment network rules prescribe a shorter timeframe, those requirements will apply.

5. Non-Refundable Registrations

Certain events or registration categories may be designated as non-refundable by the event organizer.

In such cases, cancellation requests may not qualify for refunds, except where required by applicable law or expressly authorized by the organizer.

Any non-refundable conditions should be communicated to attendees before payment.

6. Event Cancellation or Postponement

If an event is cancelled, postponed, or rescheduled by its organizer, the organizer will determine the applicable refund or alternative participation arrangements, subject to applicable consumer protection laws.

Depending on the event’s policy, attendees may be offered:

  • A full or partial refund.
  • Transfer of registration to a rescheduled event.
  • Registration credit or another alternative arrangement.

Zinvos will assist in facilitating approved refunds and related communications where applicable.

7. Payment Failures and Duplicate Transactions

If a payment is deducted from an attendee’s account but the registration is not confirmed, attendees should contact Zinvos support with the relevant transaction details.

Zinvos will coordinate with the payment gateway to verify the transaction status.

In cases of unsuccessful payments or verified duplicate transactions, refunds or payment reversals will be processed in accordance with the payment service provider’s procedures and applicable regulations.

Refunds for failed transactions are not dependent on the event organizer’s discretionary cancellation policy.

8. Payment Gateway and Processing Charges

Registration payments may include applicable payment gateway fees, service charges, or taxes.

Where permitted by applicable law and payment network rules, certain disclosed charges may be non-refundable in the case of attendee-initiated cancellations.

Any applicable deductions will be determined based on the event-specific refund policy, the terms disclosed at checkout, and relevant payment processing requirements.

9. Role and Responsibilities of Zinvos

Zinvos provides the technology infrastructure for event registration, payment collection, and related services.

Registration payments collected through the Platform are subsequently settled with the respective event organizers under applicable commercial arrangements.

Event organizers are generally responsible for determining the cancellation and refund eligibility of their event registrations.

Zinvos assists with payment verification, refund coordination, and processing of approved refunds where applicable.

However, Zinvos will also fulfill any payment, refund, dispute resolution, or consumer protection obligations directly applicable to it under law or its agreements with payment service providers.

10. Chargebacks and Payment Disputes

Attendees who identify an unauthorized payment, duplicate charge, or unresolved payment issue should contact Zinvos support with the transaction details.

Zinvos may coordinate with the relevant payment gateway, financial institution, and event organizer to investigate and resolve the matter.

Chargebacks and payment disputes will be handled in accordance with applicable payment network rules, payment gateway requirements, and relevant laws.
